Job Description:
Summary: The Assistant Manager of Facilities and Safety ("AMFS")
is responsible for supporting, the maintenance of 1440
Multiversity's physical assets, equipment, safety systems, health
protocols, and security around campus. Reporting to the Director of
Facilities and Safety ("DFS"), the Assistant Manager of Facilities
and Safety aids the DFS in a comprehensive and strategic approach
to developing, enhancing, and sustaining the campus.

Essential Responsibilities will include the following, and other
duties may be assigned.
Strategic Leadership Duties:
Assists the DFS in the daily operations of all areas of the
Facilities and Safety Departments and ensures consistency with
quality improvement standards.
Aids with hiring, training, and managing the Facilities and Safety
Team to perform essential responsibilities effectively,
efficiently, and safely in accordance with established standards,
policies, and guidelines.
Monitors and communicates needed revisions to existing SOPs and
suggests improvements.
Enforces the Facilities and Safety and Security departments' annual
operating budgets and assists in maintaining subsequent forecast
accuracy in managing expenses, productivityand scheduling based on
labor standards throughout the year.
Facilities Management Duties:
Helps administer campus construction, capital projects, vendors,
maintenance, repairs, and sustainability projects.
Works with the Head of Departments (HOD's) to create sustainable
water, electricity, and plastic reduction operations.
Regularly conducts campus walk-throughs and inspections to plan
future maintenance needs. Assesses the structural integrity of all
buildings and grounds, including walking trails to reflect 1440's
grandeur and aesthetic standards.
Maintains existing ADA campus property functions and assesses
additional areas that need accommodation access.
Maintains proper storage for warehousing tools and equipment that
meet day-to-day operating and maintenance requirements. Perform and
support in periodic equipment inventory and maintenance.
Monitors campus vehicles and equipment maintenance needs and
schedules repairs when needed.
Ensures the consistent reporting by the Facilities and Safety Team
of the maintenance and safety status of all campus facilities,
buildings, and grounds.
Monitors and controls utilities for maximum efficiency use.
Safety and Security Management Duties:
Supports the Safety and Security Department for the Cart Driving
Safety program, Haz-Com Program, Illness and Injury Prevention
Program, Campus Disaster and Evacuation Program.
Aids the DFS in completing the quarterly inspections for CCTV
equipment, alarm systems, and duress alarms to ensure
functionality.
Works with DFS quarterly OSHA and Safety audits, incident tracking,
and adhering to the hazard abatement process. Implements action
plans to monitor and control risks.
Maintains all fire and life safety equipment in compliance with
state agencies.
Maintains a complete safety management plan, staff scheduling, and
reporting. Implements the campus C.A.R.E. program and assigns work
to staff according to campus priorities.
Meets and responds to guests, employees, contractors, vendors,
fire, and police officials when necessary.
Supports the Arbor Care plan and executes the plan in accordance
with safety and care requirements.
Able to carry out the detailed shut-down property procedures to
ensure the security of areas during the appropriate times on
operating days and recess periods.
Proactively addresses safety issues on campus and develops
effective plans to address current and potential safety issues and
campus threats. Supports schedules for staff training in EGLearning
Bridge platform.
Actively maintains and monitors the Health and Safety protocols in
place on campus, including the updating of the content of the
Health and Safety manual.
Assists in managing the Key Control System and trains team
members.
Respond to emergencies, black outs in support of the DFS or in
Other Duties:
Utilizes interpersonal and communication skills to lead, influence,
and encourage others. Advocates sound financial and business
decision-making, demonstrates honesty and integrity, and leads by
example in the care of property, equipment, safe work practices,
and guest interaction.
Leads the daily stand-up meetings and facilitates monthly team
meetings.
Ensures the Facilities and Safety Team is up to date with training
and certifications in First Aid and CPR and extends training to
other staff as necessary.
Ensures all team members understand the need for safe work
practices.
Partners with DFS on Worker's Compensation injury reporting to HR,
training on safe work practices, identifying trends and root
causes, and modified duty/ return to work programs.
Sustains working relationships with key on and off-campus staff,
clients, neighbors, and governmental agencies.
Communicates effectively with other departments regarding
maintenance schedules avoiding operative disruptions.
Supervisory Duties:
Holds direct reports accountable for each deliverable's performance
and quality, ensuring that they are timely, complete, and up to
organization standards and ensuring the Organization's core values
are upheld.
Manages employee's performance with a consistent and constructive
feedback cycle that takes a collaborative approach to employee
learning and development. Administers additional training, coaching
and issues progressive discipline when appropriate.
Proactively conducts workforce planning to ensure staffing
availability meets service, product, and/or business demands.
Reviews punctuality and attendance timekeeping reports while
holding employees accountable for organization policy. Provides
coaching, training, and progressive disciplinary action when
necessary.
Monitors and consistently enforces all meal and rest break policies
for staff by ensuring compliance with state and federal laws.
Audits employee timekeeping records for accuracy and ensures that
meal and rest breaks are taken timely per organization policy.
Schedules meal breaks when appropriate.
Communicates with staff on organization policy or procedure changes
and provides guidance or training when necessary.
Adapts or develops departmental training materials based on
workforce skillset, conduct, or schedules training to meet
organization goals. Ensures compliance training requirements met
and conducted timely and in accordance with regulatory agency
requirements.
