This role requires a proactive, detail-oriented, and highly organized individual capable of managing a broad range of responsibilities in a fast-paced environment. The Senior Executive Administrator will serve as a liaison between the executive and internal/external stakeholders, ensuring smooth operations and effective communication across departments. Implementation of strategies to optimize the use of time and manage priorities is key. The role demands a high degree of discretion, professionalism, and the ability to handle complex tasks with minimal supervision.Responsibilities

  • Executive Support:
    • Provides comprehensive administrative support to senior executives, including calendar management, meeting coordination, travel arrangements, and preparing executive communications.
    • Anticipates the needs of the executive and prioritize tasks effectively, ensuring the executive's time is optimized. Handles confidential information and sensitive materials with utmost discretion.
    • Act as a point of contact for internal and external stakeholders on behalf of the executive.
    • Screen and direct phone calls, emails, and other communications, ensuring timely responses and follow-ups.
    • Prepare and draft correspondence, reports, presentations, and other documents as needed.
    • Event & Meeting Coordination:
      • Organize high-level meetings, conferences, and events, including scheduling, logistics, and materials preparation.
      • Attend meetings as required, ensuring follow-up on assigned action items.
      • Coordinate complex travel itineraries and related logistics, ensuring smooth execution of business trips.
      • Working knowledge of Concur expense/booking platform.
      • Project Management:
        • Assist in the management of key projects and initiatives, ensuring timelines, deadlines, and deliverables are met.
        • Provide support in tracking the progress of projects and offering solutions to address any potential issues.
        • Operational Support:
          • Collaborate with other departments to ensure the efficient operation of daily activities.
          • Support the executive with special projects, presentations, and other ad hoc tasks.
          • Strategic Support:
            • Partner with the executive to prioritize objectives and ensure alignment with organizational goals.
            • Provide assistance with decision-making processes, research, and data analysis when needed.Education, Experience & Skills Requirements
              • Bachelor's degree or equivalent professional experience required.
              • Minimum of 7-10 years of experience in a senior administrative or executive assistant role, with experience supporting C-suite executives preferred.
              • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), video conferencing tools (Zoom, Teams), and office management software.
              • Exceptional organizational and time-management skills with the ability to handle multiple priorities, meet deadlines, and operate in an interruption-driven environment.
              • Strong written and verbal communication skills, including drafting professional documents and correspondence.
              • Ability to handle sensitive and confidential information with discretion and professionalism.
              • Proactive, resourceful, and adaptable with a strong attention to detail.
              • Ability to work independently and in a team environment with minimal supervision.
              • Strong interpersonal skills and the ability to interact effectively with individuals at all levels of the organization.
              • This role may require occasional travel and after-hours availability for meetings or urgent tasks.

Below is the anticipated salary range for candidates for this role who will work in California: $135,000 - $180,000 USD.
